Are you applying for a position, internship, or freelance opportunity through StudyLift, or otherwise expressing interest in working with us? This privacy statement explains how we handle your personal data throughout the application and selection process. We value transparency and take your privacy seriously — handling your data with care and in accordance with the General Data Protection Regulation (GDPR).

Who We Are

All recruitment and work-related activities at StudyLift are managed by a non-profit foundation operating under the name of StudyLift Stichting (KVK-nummer: 98290320 | RSIN 868431916). Officially, StudyLift Stichting., is responsible for the correct handling of your personal data.

What Do We Use Your Personal Data For?

We process your personal data in connection with the following purposes:

• To establish and maintain contact with you regarding your application
• To assess your suitability for internships, freelance roles, or employment
• To provide administrative and onboarding support
• To comply with Dutch labor and tax laws (e.g., for issuing contracts or payments)
• To match you with available work opportunities or learning programs
• To inform you about similar future opportunities, only if you have consented to this

What Data Do We Collect?

We collect personal data that you provide directly or that results from your interaction with us. This includes:

• Identification details (e.g., name, date of birth, nationality, student ID, BSN if required for payment)
• Contact information (e.g., address, phone number, email)
• Education and work history (e.g., CV, study program, university enrollment confirmation)
• Bank account details (e.g., IBAN, for payments of allowances or internship compensation)
• Copies of identification documents (e.g., ID/passport, only where legally required)
• Files and documents you upload through our application forms
• Technical metadata such as IP address and browser type (for online forms)

We will never ask for unnecessary sensitive data (e.g., religion, health data, political views) during the application process.

On What Legal Basis Do We Process Your Data?

We rely on the following legal bases under the GDPR:

• Contractual necessity: To take steps prior to entering into a contract (internship, freelance agreement, etc.)
• Legal obligation: For compliance with Dutch tax, labor, or student funding laws
• Legitimate interest: To manage and improve our recruitment process
• Consent: Where required (e.g., keeping your application on file for future roles)

 

Where is your data stored?

Your personal data is securely stored using the services of Jotform Ltd, our external data processing platform. Jotform is fully GDPR-compliant and hosts all data related to our forms and applications on servers located within the European Union (EU).

To ensure the highest level of data protection, we use encryption protocols to safeguard your information both in transit and at rest. Additionally, access to this data is protected by two-factor authentication (2FA) and is strictly limited to authorized StudyLift personnel involved in recruitment, placement, and administrative processing.

We have a data processing agreement in place with Jotform Ltd to guarantee that your information is handled securely and in accordance with all applicable data protection regulations.

Do We Share Your Data?

Your personal data may be shared with:

• Internal team members (recruitment, legal, admin, finance)
• Our partner Stichting (non-profit foundation) which may formally employ you or process your student finance application
• External payroll, legal, or accounting providers acting under a processing agreement
• Official Dutch authorities if legally required (e.g., tax office, labor inspectorate)

Your data is never sold or shared for commercial gain.

Data Retention

We store your personal data:

• For up to 4 weeks after the end of the application process, if no placement is made
• For up to 12 months, only with your explicit consent, to inform you of future work opportunities
• For a longer period if required by law (e.g., payment records under tax retention rules)

You can withdraw your consent at any time by emailing us at contact@studylift.nl.

Your Rights Under GDPR

You have the right to:

• Access your personal data
• Correct inaccuracies in your data
• Request deletion of your data
• Restrict or object to processing
• Withdraw any consent previously given
• Lodge a complaint with the Autoriteit Persoonsgegevens (Dutch Data Protection Authority)
